Managing insurance policies online: complete guide
Managing insurance policies online means centralising your entire portfolio: policy data, insured, premium, expiry, company and documents, all easy to find in one place. A digital system reduces entry errors and keeps the renewals list in view.
How online policy management works (steps)
- Entering policies — each policy's data is filled in once, in the policy module.
- Client association — the CRM links each policy to the client's complete file.
- Expiry list — policies expiring in the next 30, 15 and 7 days appear in a dedicated list.
- Renewal — from the renewals list, the agent opens the policy and renews it, with the client's data at hand.
- Archiving — expired policies remain in the archive for audit and retrospective claims files.
What data a digitally managed policy contains
- Policy number, insurance company and product type (for example motor, home, health).
- Insured party data, insured object data and beneficiary details.
- Insurance premium, payment frequency and payment status.
- Start date and expiry date, visible in the expiry list.
- Attached documents: a copy of the policy, the insurance application, documents for the insured object.
Advantages of a digital system over spreadsheets
A portfolio of 500+ policies managed in spreadsheets means missed renewals, commission calculation errors and difficulty seeing quickly what expires and when. A digital system reduces these problems by centralising the data.
